Privacy Policy
NoteMeeting ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard information when you use our Chrome Extension, desktop application and website (collectively, the "Service").
1. Information We Collect
License key. When you activate the Service, we collect the license key you provide to verify your subscription and manage your usage quota.
Usage data. We record usage events (for example: a meeting was started, a recap was generated, translator minutes used, number of translated lines and the selected language pair) to enforce your plan's quota. These records do not contain meeting audio, transcript text, speaker names or topics.
Device identifier. A pseudonymous device ID is generated locally and associated with your license key to prevent unauthorized sharing. This ID cannot be used to identify you personally.
Email address. When you create an account or purchase a subscription through our payment provider (Polar), we receive your email address to deliver your license key and send transactional emails (license delivery, renewal notices). We do not use it for marketing without your explicit consent.
2. Information We Do Not Collect
- We do not store your meeting audio on our servers.
- We do not store your meeting transcripts, summaries or translations on our servers.
- We do not log the content of your meetings or of your AI Assistant questions and answers.
- We do not sell your data to third parties.
- We do not use your data to train AI models.
3. How Audio Is Processed
Note Taker. When you start a recording, the extension captures audio from the meeting tab you choose and, if you allow it, from your microphone. Audio is streamed directly from your device to our speech-to-text provider (Soniox) using a temporary, session-scoped key issued by our server. Audio is not routed through or stored on our servers at any point. Soniox returns transcript text (with speaker labels) to your browser.
Live Translator. When you use the translator, audio is streamed to Soniox in the same way for transcription and translation. If you turn on spoken translation, the translated text is sent to Soniox's text-to-speech service and the resulting voice is played back to you. If you choose to let other participants hear your translated voice, the extension plays that synthesized voice into the meeting through the page's microphone input. This happens only in the meeting tab and only while the translator is running.
You can review Soniox's privacy practices at soniox.com/privacy.
4. How AI Features Process Text
The following features send text (never audio) from your browser to our backend server, which forwards it to a language model provider and returns the result:
- AI recap / summary - the meeting transcript, to generate the summary, decisions and action items.
- AI Assistant - your question and the relevant transcript or summary, to generate an answer.
- Fallback translation - transcript lines, only when translation from the speech provider is not available.
Our language model providers are Groq and Alibaba Cloud Model Studio (DashScope / Qwen, international region in Singapore). The text is used only to produce the response, and our server does not retain it after the response is returned.
Your own API keys (optional). If you enter your own OpenAI, Anthropic or Groq API key in the extension settings, AI Assistant requests are sent directly from your browser to that provider under your own account and that provider's terms. These requests do not pass through our server.
5. Data Stored on Your Device
The Chrome Extension stores your license key, plan information and preferences (languages, voice, panel position, text size) in chrome.storage.local on your device. The live transcript and summary are kept in the meeting tab's memory while you use them and are not synced to the cloud. You can copy or download them at any time; downloaded files are yours to manage.
6. Permissions Used by the Extension
- Tab capture and offscreen document - to capture audio of the meeting tab where you start recording or translating.
- Microphone - to transcribe or translate your own voice, only after you allow it.
- Storage - to keep your license and preferences on your device.
- Access to meeting sites (Google Meet, Zoom web, Microsoft Teams, Webex, Whereby, GoTo Meeting) - to show the NoteMeeting panel inside the meeting.
7. Third-Party Services
We use the following third-party services:
- Soniox - real-time speech-to-text, translation and text-to-speech
- Groq - AI language model processing (recap, AI Assistant, fallback translation)
- Alibaba Cloud Model Studio (DashScope / Qwen) - AI language model processing (recap, AI Assistant, fallback translation)
- Polar - subscription billing and license key delivery
- Supabase - account, license validation and quota tracking (no meeting content stored)
- Resend - transactional email delivery
Each provider operates under their own privacy policy and data processing terms.
8. Data Retention
License and quota records are retained for the duration of your subscription and for 90 days after cancellation for billing dispute purposes. Usage event records (counts and metadata, not content) are deleted 12 months after your subscription ends.
9. Your Rights
You may request deletion of your account data at any time by emailing [email protected]. We will delete your license record and associated usage data within 14 business days.
If you are located in the European Economic Area, you have additional rights under GDPR including the right to access, rectify, and port your data. Contact us at the email above to exercise these rights.
10. Children's Privacy
The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.
11. Chrome Web Store Limited Use
NoteMeeting's use of information received from the Chrome extension complies with the Chrome Web Store User Data Policy, including the Limited Use requirements. We use data only to provide the features you use, do not transfer it except as described above, and never use it for advertising.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, for material changes, notify you via email or a notice in the Service.
