Privacy Policy

NoteMeeting ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard information when you use our Chrome Extension and desktop application (collectively, the "Service").

Short version: Your meeting audio is processed locally on your device and sent directly to speech-to-text providers. We never store your audio or transcripts on our servers.

1. Information We Collect

License key. When you activate the Service, we collect the license key you provide to verify your subscription and manage your usage quota.

Usage data. We collect the number of meetings processed per billing period to enforce your plan's quota. We do not record meeting content, speakers, or topics.

Device identifier. A pseudonymous device ID is generated locally and associated with your license key to prevent unauthorized sharing. This ID cannot be used to identify you personally.

Email address. When you purchase a subscription through our payment provider (Polar), your email address is collected by Polar to deliver your license key and manage billing. We receive your email to send transactional emails (license delivery, renewal notices). We do not use it for marketing without your explicit consent.

2. Information We Do Not Collect

  • We do not store your meeting audio on our servers.
  • We do not store your meeting transcripts on our servers.
  • We do not record, log, or analyze the content of your meetings.
  • We do not sell your data to third parties.
  • We do not use your data to train AI models.

3. How Audio Is Processed

When you use the Note Taker feature, audio from your active browser tab is captured locally in your browser. The audio stream is sent directly from your device to our speech-to-text provider (Soniox) using a temporary, session-scoped API key issued by our server. Audio data is not routed through or stored on our servers at any point.

Soniox processes audio in real time and returns transcript text. You can review Soniox's privacy practices at soniox.com/privacy.

Recap and summarization requests (AI-generated meeting summaries) are processed via our backend server, which forwards your transcript text to our language model provider (Alibaba DashScope / Qwen). Transcripts sent for recap are not retained after the response is returned.

4. Cookies and Local Storage

The Chrome Extension stores your license key and plan information in chrome.storage.local on your device. This data stays on your device and is not synced to the cloud or shared with third parties.

5. Third-Party Services

We use the following third-party services:

  • Soniox — real-time speech-to-text processing
  • Alibaba DashScope (Qwen) — AI recap and summarization
  • Polar — subscription billing and license key delivery
  • Supabase — license validation and quota tracking (no meeting content stored)
  • Resend — transactional email delivery

Each provider operates under their own privacy policy and data processing terms.

6. Data Retention

License and quota records are retained for the duration of your subscription and for 90 days after cancellation for billing dispute purposes. Usage count records (meeting count, not content) are deleted 12 months after your subscription ends.

7. Your Rights

You may request deletion of your account data at any time by emailing [email protected]. We will delete your license record and associated usage data within 14 business days.

If you are located in the European Economic Area, you have additional rights under GDPR including the right to access, rectify, and port your data. Contact us at the email above to exercise these rights.

8. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, for material changes, notify you via email or a notice in the Service.
